Department Administrator for Preschool Operations
Do you want a role where structure, collaboration, and good service contribute to creating stable conditions for preschool operations? We are now looking for a department administrator who wants to be a close administrative support to the department management and an important part of the department's collective work.
YOUR ROLE
As a department administrator, you work closely with the department management and are responsible for coordinating and executing administrative processes with quality. You book venues and support the planning of joint planning days, as well as ensuring that meetings run smoothly through bookings, invitations, minutes, signatures, and publication on the intranet.
The role also includes some financial administration, where you place orders through contracted suppliers and review and code invoices. You collaborate with department management and trade unions and work with other functions within the administration on issues related to, for example, state grants, planning of summer operations, and VFU placements. As a contact person for customer service, you are an important link between the department and the municipality's contacts with citizens.
The role also includes other administrative tasks and is shaped according to the needs of the operations and your competencies.
YOUR COMPETENCE AND EXPERIENCE
We are looking for someone who has completed upper secondary education with a diploma and documented experience of qualified administrative work. You have worked in various administrative systems and are comfortable in digital environments, with the ability to quickly familiarize yourself with new systems and tools. You communicate very well in Swedish and express yourself clearly, effectively, and appropriately for the audience in both speech and writing. A criminal record check is required for the position, as the work takes place within preschool operations.
It is an advantage if you have basic knowledge of financial administration, such as experience with orders, invoice management, and coding.
To succeed in the role, you need to be structured and goal-oriented, with a good ability to plan, organize, and complete your work even when multiple tasks are ongoing simultaneously. You have a creative approach and see opportunities to develop work methods and find new solutions to recurring administrative needs. You thrive in collaboration with others and find it easy to create and maintain good relationships. You work selflessly and collaboratively, focusing on the common mission, and have a solution-oriented attitude where you quickly identify challenges and act constructively to find effective ways forward.
